How to plan a successful hybrid scientific conference

Why hybrid is here to stay

The pandemic accelerated hybrid scientific conferences, and they have remained a powerful format. They let you reach a global audience while keeping the value of meeting in person. The challenge is to serve both audiences well.

Five things to get right

  1. Design one programme, not two. Plan sessions with both on-site and online participants in mind, including Q&A that works for remote attendees.
  2. Invest in the technical backbone. Reliable streaming, good audio and a dedicated tech host per room make or break the online experience.
  3. Make posters and networking hybrid too. E-poster platforms and online meeting spaces give remote participants a real way to connect.
  4. Price it clearly. Separate on-site and online fees, and be transparent about what each includes.
  5. Measure engagement. Track attendance, interaction and feedback per format to improve your next edition.
