Who we are
BlueBox Events B.V. ("BlueBox Events", "we") is a professional conference organiser based in Delft, the Netherlands, registered with the Chamber of Commerce under number 98788779. We are responsible for the personal data processed through this website and in our contacts with clients and suppliers.

Conferences we organise
For each conference we organise, participant data (accounts, registrations, abstracts and papers, payments, dietary and accessibility needs) is processed on the conference platform Dryfta. We usually do this on behalf of the conference organiser, such as a university or scientific society. Every conference website has its own privacy notice that explains who is responsible, which data is collected and how long it is kept. Please read that notice for questions about a specific conference.
What we collect through this website
- Contact form: your name, email address, organisation and the message you send us.
- Email and phone: the details you share when you contact us directly.
- Technical data: our hosting provider processes your IP address and basic request data to deliver the website and keep it secure.
Why we use it
- To answer your question and to prepare a proposal, based on your request and our legitimate interest in responding to it.
- To carry out agreements with clients and suppliers, including invoicing and financial administration.
- To meet legal obligations, such as the tax retention requirements.
We do not sell your data and we do not use it for automated decision-making.
Who processes data for us
We work with carefully selected service providers that process data on our behalf, under a data processing agreement where required:
- Netlify: website hosting and the contact form
- Microsoft 365: email and file storage
- HubSpot: client and relationship management
- Dryfta: conference websites, registration and abstract management
- Mollie: online payments for conference registrations
- Exact: financial administration
Some of these providers may process data outside the European Economic Area. In that case, transfers are covered by appropriate safeguards such as the EU-U.S. Data Privacy Framework or standard contractual clauses.
How long we keep it
- Contact requests: up to two years after our last contact, unless they lead to an agreement.
- Client and supplier data: for the duration of the relationship and up to two years afterwards.
- Invoices and financial records: seven years, as required by Dutch tax law.
Cookies and external content
This website does not use analytics or advertising cookies of its own. Fonts are loaded from Google Fonts, which means your browser connects to Google's servers. The LinkedIn posts on our homepage are loaded from LinkedIn, which may place its own cookies; see LinkedIn's cookie policy for details.
Your rights
You have the right to access, correct or delete your personal data, to restrict or object to its processing, to data portability, and to withdraw your consent at any time. Send your request to contact@blueboxevents.nl. We will respond within one month.
If you are not satisfied with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Security
We take appropriate technical and organisational measures to protect personal data, such as secure connections (https), limited access and two-factor authentication on our systems.
Changes
We may update this statement. The date at the top shows when it was last changed.
