Traditional calls for papers set a high threshold. Early-career researchers, practitioners, industry innovators and policymakers often have valuable ideas, case studies or early results, but cannot commit to a full paper. And classic formats focus on presenting rather than on dialogue.
The concept
Spotlight submissions are a complementary track next to the regular call for papers:
- Submission: a one to two page extended abstract, no full paper.
- Presentation: a five to seven minute spotlight talk.
- Discussion: 20 to 30 minutes of guided exchange with peers and experts.
- Output: key insights captured for the proceedings or the conference website.
Accepted contributions are programmed into interactive formats such as campfire sessions, world cafés or poster circles.
Benefits
For the conference: more submissions, more diverse participants, a richer and more dynamic programme.
For authors: a lower barrier, visibility in small-group settings, direct feedback and networking.
For sponsors and partners: room for thought leadership through active participation, beyond logos and booths.
How to implement
- Launch it as an addition to full papers, not a replacement.
- Set a later deadline to attract extra contributors.
- Let a small subcommittee review with light criteria.
- Communicate clearly that this track is for contributions that do not fit traditional formats.
Spotlight submissions are a low-effort, high-impact way to broaden participation and make a conference more inclusive and future-proof.
